Job: Project Administrator – PS Centre



The International Federation of Red Cross and Red Crescent Societies Reference Centre for Psychosocial Support (PS Centre) is looking for a project administrator to join our international team in Copenhagen at the PS Centre. We are excited to offer the right candidate the opportunity to take the responsibility of coordinating and administratively supporting a variety of activities on donor-funded projects ultimately related to capacity building of Red Cross Red Crescent National Societies globally.  

As our project administrator you will coordinate project activities, manages schedules, and ensures project deliverables are completed on time and within budget – in close collaboration with the Project Manager. In this position you will coordinate, administrate and execute a selection of activities on multi-annual projects. Currently, the IFRC PS Centre is implementing 5-8 small to large scale projects and several more are in the pipeline. As a project administrator in the IFRC PS Centre you will collaborate closely with an interdisciplinary team of highly talented and dedicated PS Centre co-workers, National Society focal points and external partners. In this position you will be allocated for coordination of activities and administrative support on at least two specific projects; ‘Supervision – The Missing Link’ project and the ‘MHPSS Roadmap’ project. You will be working closely with the Project Managers and Project Director of these projects though have responsibility for independent project tasks.

Key tasks and responsibilities

  • Contribute to high quality delivables on donor-funded projects.
  • Coordination and administration of projects activities on selected projects.
  • Support the project teams in ensuring compliant implementation of projects.
  • Support the  project teams in ensuring that key deliverables are completed in a timely manner.
  • Support Project Managers in monitoring timelines and ensuring timely progress of the project collaboration.
  • Support Project Managers in coordinating with external project partners and internally across PS Centre units
  • Ensure correct filing of projects related documents according internal and donor requirements.
  • Organise, coordinate and participate in partnership meetings as specified by project plans.
  • Responsible for the project team and stakeholder coordination.
  • Ensure administrative and logistical support to the coordination of events and trainings – in physical, hybrid and online settings.
  • Responsible for the preparation and documentation of project and stakeholder meetings (e.g., minutes taking).
  • Contribute to selected fundraising and proposal development processes if relevant.

Experience and skills

  • Minimum 3 years’ working experiences within coordination, administration and execution of project activities.
  • Experience from humanitarian and/or development aid projects – knowledge about MHPSS is advantageous.
  • Experience from facilitation/participating in project meetings on all levels and with cultural diversity.
  • Relevant educational background.
  • Fluency in spoken and written English required, working knowledge of Danish a strong asset.
  • Knowledge of spoken and written Arabic, French and/or Spanish is an added advantage.
  • Strong organizational and administrative skills
  • Strong computer skills, including Microsoft Office package, Sharepoint, Teams as well as an aptitude for learning and using new digital tools and databases
  • Experience with working for or volunteering with the Red Cross Red Crescent an added value

Background

The IFRC PS Centre is a delegated function of the International Federation of Red Cross and Red Crescent Societies, hosted by Danish Red Cross. It aims to improve mental health and psychosocial well-being through operational assistance, capacity development of National Societies, competence development of staff and volunteers, knowledge generation and knowledge sharing, and communication and advocacy.

The IFRC PS Centre is a small and lively Centre with an international atmosphere. Our working language is English. Employment Conditions

Danish Red Cross is the legal employer and the duty station will be Copenhagen. The assignments will commence 1 May 2024, or soon as possible. The contract is a one-year contract with the possibility of extension.

Salary level and benefits will be in accordance with the Danish Red Cross’ Staff Agreement with AC/HK. The position is classified for salary between DKK 40-45.000 per month incl. pension (17,1%), and according to qualifications and experience.
