Job: Finance controller with NGO and grant reporting experience

The Headquarter (HQ) Finance team of 5 people (3 Controllers, an Accountant and a Director) provides high-quality finance control to our field offices and HQ accounting and controlling, including donor compliance, quality control, preparations of budgets, financial reports, accounts, and improvement of finance systems and processes. We are currently implementing a new economy system, Business Central, and other features to improve our efficiency and users’ experience.

The Job

The main purpose of your role is to provide finance control, budget support, and reports to ensure donor compliance with focus on certain countries and in collaboration with both finance and non-finance colleagues. This implies that you will be responsible for monitoring some field accounting and reporting.

As Finance Controller, your tasks will be to:

  • Control the quality of the accounts for each programme by reviewing field expenses and balance sheet, and coordinating adjustments with the field finance staff
  • Ensure accurate data mapping between field accounting and HQ accounting systems, and consolidating field data
  • Ensure proper accounting and donor compliance as well as the application of Mission East’s financial policies and procedures, providing remote trainings as needed
  • Support the field teams developing country and project budgets
  • Prepare, oversee and/or coordinate donor financial reporting processes in a timely manner, ensuring reconciliation of accounts and compliance to donor requirements.
  • Coordinate project audits between HQ and field staff to ensure quality audits, and liaise with auditors
  • Prepare monthly budget variance reports for program staff and follow-up on project spending and progression rates
  • Review partner financial reports and record expenditures in the accounting system
  • Carry out financial monitoring trips to partners and Mission East offices to assess and strengthen financial/administrative capacity as well as follow-up on previous reviews and recommendations – there is an expected travel activity of two to four weeks/year

You will also have tasks related to the HQ accounting and:

  • Provide ongoing support to the Finance and Administration Director in the development and implementation of head office accounting systems & procedures, contributing to the monthly and annual accounting closure and supporting with hands-on accounting tasks when needed.
  • Prepare relevant supporting documents for HQ financial Audits and collaborate with auditors, partners and Mission East field offices
  • Support the Finance & Administration Director with HQ cash management, banking, transfers, and payments as needed

As part of the group of Controller group, you will also contribute to mutual sparring, quality assurance and capacity building among the group of HQ controllers.

You will refer to the Finance & Administration Director and will be in close contact with field finance staff.

You

We expect you to have:

  • Higher education qualification in accounting and finance management or business management. Qualified accountant (CA / CIMA or recognised equivalent) is an advantage
  • At least, five years post qualification experience as controller
  • A proven track record in successfully working with distance collaboration and capacity building
  • Good collaboration skills, with experience of providing support within a multi-disciplined, multi-cultural team, as well as excellent communication and interpersonal skills with sensitivity to cultural differences
  • Ability to present information and concepts clearly to non-financial staff, both verbally and in writing. Fluency in English, spoken and written required. French is an asset

We assume that you are committed to Mission East’s values and have:

  • Analytical and strategic planning skills and ability to handle multiple priorities
  • Advanced skills with Excel
  • The ability to travel to Mission East’s other office locations, as required

And it is an advantage if you also have:

  • Experience of NGO accounting, controlling, and grant reporting; and even more if you have experience with donors of different types and sizes in an INGO
  • Experience in using Business Central (or equivalent), Power-BI and Microsoft Power Apps
  • Administrative experience and knowledge of establishing and maintaining efficient procedures and systems supporting
